How Much Are No-Shows Costing Your Barbershop?

Calculate the cost of unfilled cancellations and no-shows using your own diary data, then decide which reminder, deposit and policy changes to test.

The useful number is not every cancellation. It is the appointment time that stayed empty and could not be refilled.

What the cited 14.05% measure means

Mangomint's barbershop booking-data article reports a 14.05% measure covering cancellation or no-show outcomes. It does not establish that 14.05% of bookings were no-shows, nor that every affected appointment produced an empty chair.

A cancellation can have several outcomes. The time may be refilled from a waitlist, taken by a walk-in, moved to another customer or left empty. Only the last outcome creates the full lost-service-value example.

That is why applying the combined rate to every booking and calling the result lost revenue overstates what the source supports.

Calculate the cost from your diary

Choose a recent period and record:

  1. Appointments marked no-show.
  2. Late cancellations that were not refilled.
  3. Earlier cancellations that were not refilled.
  4. Cancelled appointments that were successfully refilled.
  5. The service value for each unfilled time.

Then use:

Unfilled appointment cost = sum of the service values for appointment times that remained empty

For a quick estimate, enter your own numbers:

  • unfilled appointment times per week
  • average service value for those times
  • working weeks per year

Multiply those three inputs. Label the result as an estimate because a missed appointment is not always the same as lost profit. Staff costs, product costs, deposits retained and replacement work may change the commercial effect.

Do not use the combined 14.05% measure as your unfilled-slot assumption unless your own records show that every cancellation and no-show stayed empty.

Separate cancellations from no-shows

A no-show gives the shop no warning. A cancellation may give minutes, hours or days. Those outcomes need different responses.

If customers cancel early but times remain empty, improve the waitlist and how quickly the opening is shared. If customers simply forget, reminders may help. If repeat missed bookings are concentrated among a small group, a clear policy or deposit may be more relevant.

Appointment reminders

Booking Protection

Review results by location, service and time of week. One overall percentage can hide a small number of recurring problem times.

Measure the result honestly

Compare equivalent periods and record:

  • total appointments
  • no-shows
  • cancellations by notice period
  • how many cancelled times were refilled
  • unfilled service value
  • deposits or fees actually retained

Do not describe a 30% to 50% saving as typical without evidence from your own shop or a directly applicable study. Publish the assumptions beside any worked example.
